General Business Terms and Conditons
Welcome to Green Cross Podiatry.
At Green Cross Podiatry, we are dedicated to providing high-quality podiatric care tailored to your individual needs. Our experienced team offers a full range of treatments to help keep your feet healthy and pain-free.
Green Cross Podiatry practitioners can assess, diagnose and treat an array of foot and lower limb conditions.
To ensure we provide you and our other valued clients with the best possible care it is important that you understand our terms and conditions as outlined below.
Our Services
We provide a comprehensive range of foot care treatments, including:
- Routine Podiatry Care – Nail trimming, callus and corn removal, treatment of cracked heels, and general foot health management.
- Diabetic Foot Care – Regular assessments and treatments to prevent complications associated with diabetes.
- Fungal Nail Treatment – Diagnosis and treatment options for fungal nail infections.
- Ingrown Toenail Management & Nail Surgery – Conservative treatments and permanent solutions for painful ingrown toenails.
- Biomechanical Assessments & Orthotics – Custom insoles and footwear advice for foot pain, flat feet, and postural issues.
- Verruca Treatment – Acid treatments, verruca needling, and other options for persistent verrucae.
If you are unsure which treatment is right for you, our podiatrist will assess your feet and recommend an appropriate treatment plan.
Podiatric care involves hands on treatment, and you have the right to ask questions regarding your treatment and to refuse any procedure at any time.
Should the situation arise where a condition is outside of the practitioner’s scope of practice or knowledge base, a referral may be suggested to seek additional specialist assistance; internally or externally. This referral shall be discussed with and consented to by the patient and either made on behalf of the patient or the patient can self-refer.
Risk of clinical complications
Green Cross Podiatry practitioners will ensure that they do their best to provide a satisfactory outcome. No clinical procedure is entirely risk free and the results of any treatment cannot be fully guaranteed. If you have any concerns or queries about the treatments that we offer, you should discuss these with your practitioner.
Some Podiatry treatments require the use of sharp instruments including, scalpels, nippers, metal files, drills. Whilst every effort is taken to ensure that no harm is caused with the use of such instruments, rarely a small cut can occur and cause a small bleed to the treated area/s. We will always advise you if this occurs and manage appropriately.
Practitioners
While at Green Cross Podiatry, you will be under the care of either of our foot health practitioner or podiatrist. We may involve other practitioners in your care, if appropriate.
Associates and employees of Green Cross Podiatry maintain their own professional indemnity and negligence insurances. Accordingly other than in relation to obligations under the privacy policy, Green Cross Podiatry will not be liable for any act or omission of a practitioner. The Practitioner will be responsible for the care he/she gives you.
Appointments & Fees
Appointments are to be booked in advance and are subject to availability.
All patients are asked to arrive on time for their appointment. We will do our absolute best to not keep you waiting also.
If you arrive later than 10 minutes for your scheduled appointment you may be refused treatment if there is not sufficient time to carry out a treatment and asked to reschedule your appointment.
Appointment bookings can be made by email request, online or face to face in clinic.
Failure to attend or missing an appointment payment will be required depending on the circumstances of absence.
Failure to attend appointments habitually, Green Cross Podiatry reserves the right to ask you to pre-pay for appointments and deny treatment if you refuse to settle payment for any treatment beforehand.
We advise all our patients where appropriate to block book their appointments in advance once we discuss the appropriate weeks for treatment. These appointments can be altered as appropriate, and this does not require payment in advance. The future booked appointments allow you to get the most convenient treatment time for you.
Children receiving treatment
Children under the age of 16 must be accompanied by an adult during appointments.
Children under the age of 16 must have a parent or guardian consent to treatment or procedures.
Pricing
Our pricing is in line with regional and local pricing offered by our colleagues within the private sector. We aim to be transparent about all costs and fees, displaying our most up to date treatment fees within our clinic.
Payment
All new patients are required to pay for their initial appointment in full within 48 hours of arranging their appointment.
Existing patients’ payment for services are made immediately following your consultation / treatment.
Prices charged shall be in line with current prices advertised within our clinic or were quoted to you at the time of your booking. All pricing shall be increased annually at the end of April.
Payment can be received via bank card, cash, or bank transfer to Green Cross Podiatry (please ask us for account details).
New patient appointment payments can be made over the phone, online or in person.
Receipts for payment will be issued at your request.
For patients with health insurance, it is their responsibility to pay for treatment upfront and to submit their receipt of treatment to their insurance provider. It is the responsibility of the patient to check coverage for any treatment or procedures prior to booking an appointment.
Products purchased in the clinic must be checked for any damages or defect upon receipt.
Cancellations & Rescheduling
Green Cross Podiatry operates a cancellation policy. Our policy is like many other medical clinics, and we kindly ask all patients to adhere to it. If you wish to cancel or reschedule your appointment. We simply ask you to give at least 24 hours’ notice for cancellations or rescheduling. If this minimum is not adhered to, we reserve the right to charge the full value of your treatment, and a 50% deposit to secure any future appointments. Failure to provide sufficient notice may result in the loss of your deposit.
We are obviously aware that from time-to-time circumstances dictate that an appointment will be missed, or less than 24 hours’ notice will be given. On such occasions we can be lenient but frequent missed appointments can be very disruptive to the smooth running of clinic and can also be inconvenient to other patients that require an appointment slot.
If you arrive late for your appointment, we may be able see you for the remaining period of your allotted appointment slot, but your full appointment fee will stand.
Green Cross Podiatry reserves the right to cancel appointments at short notice in circumstances beyond our control such as practitioner ill health, hospitalisation, accidents or extreme weather conditions; and we must make any change in the services or how they are provided, we will inform you immediately or as soon as reasonably possible. We will use reasonable endeavour to keep any such changes to a minimum.
Safety and infection control
We adhere to strict safety and infection control procedures to protect both your patients and staff.
You agree to inform the clinic if you have any symptoms of illness or have been exposed to any communicable diseases before your appointment.
Our guarantee
It is important to us at Green Cross Podiatry that you are happy with the treatment and care provided. If, for any reason you are unhappy with the treatment or care given please contact the clinic within a week of your appointment date and we will ask you to come back into the clinic to work out how to solve the problem.
Refunds
All services provided by the clinic are non-refundable. If you have any concerns about the treatment you paid for please email emma@greencrosspodiatry.co.uk and we will take reasonable steps to resolve our concerns.
If our practitioner cancels your appointment due to deeming the treatment not suitable for your best interests or for medical reasons and you have already made a payment, we will refund that payment.
For products or items purchased in clinic, if returned to the clinic within 7 working days in its original saleable condition with proof of sale, we will be happy to consider a full refund. Certain products such as creams and medicaments are not eligible for returns, if you change your mind, unless it is defective.
Orthotics. According to consumer rights laws, you are not entitled to a full refund for custom made products, as they can not be resold.
Please note that we will only refund the cardholder or person who paid the original payment.
Follow-Up Appointments
- Routine Podiatry Treatments – If a revisit is required within 2 weeks of your routine treatment, it will be free of charge.
- Nail Surgery Aftercare – Follow-up appointments within 3 months of nail surgery are included in your payment. After this period, any further treatments may be charged unless there has been a clinical error. 50% non-refundable deposit is required at the time of booking to secure your appointment.
Medical History and Information
All patients will be asked to complete a digital personal information and medical history form prior to your first treatments. You will also be digitally signing and agreeing to Green Cross Podiatry services terms and conditions.
You agree to provide complete and accurate information regarding your medical history, medications, allergies, and any other relevant health conditions.
Withholding information may affect your treatment plan and outcomes.
Consent to photographs and videos
Pictures and video recordings can be an important part of your clinical records.
Your choice of consent, or refusal to give consent will not affect your treatment within Green Cross Podiatry in any way.
Photographs and videos are uploaded to our secure practice management software system and stored for future reference. Photographs/ images will not be used for the purpose of social media or training purposes without your consent.
Data Consent & Privacy Policy
We take your privacy seriously and are committed to protecting your personal data. Our privacy policy outlines how we collect, use, and store your information in accordance with UK data protection laws.
What Information Do We Collect?
- Contact details (name, phone number, email, address)
- Medical history and treatment records
- Payment details for processing transactions

How We Protect Your Data
Your information is stored securely and is only accessed by authorised personnel. In line with EU and GDPR regulations, and The Information’s Commission Office (ICO)
Your medical and personal data is securely stored digitally for at least 7 years, and no paper records are held. If you require a copy of your medical record, please email emma@greencrosspodiatry.co.uk and our business has 30 days in order to provide your subject access request (SAR).
We do not share your personal details with third parties unless required by law or with your explicit consent.
You have the right to request access to your records, update your details, or ask for your data to be deleted where appropriate.
We respect the confidentiality of all patients. Any personal information or circumstances that is provided to us by you will be regarded as confidential and subject to the terms of our privacy policy, we will not disclose any information without your express consent or as otherwise required by law.
In interest to the privacy policy adhered to by practitioners and staff we also request that patients keep confidential information or knowledge that you acquire during your visits in clinic including the identity of other patients that you may meet in the reception area. By attending our practice, you consent to us collecting and using your data as outlined in this policy. If you have any questions, please speak to a member of our team.
Email communication
We use your email address to keep you updated of any changes happening to the clinic, recent goings on and new treatment or product information.
By providing your email you are consenting to receive these communications from the clinic. You can opt out at anytime by sending us an email back at emma@greencrosspodiatry.co.uk.
Your information will be stored securely and used for purpose of sending relevant information.
The use of AI
Green Cross Podiatry has partnered up with Heidi and Verbalise AI to help practitioners to automate notetaking and arranging appointments meaning less time on writing notes and more time with patients.
How does Heidi work?
Heidi records your consultation in the background, capturing essential details to then generate a clinical summary of your session using artificial intelligence (AI). Hedi is compliant with Health and Care Professionals Council (HCPC) standards of note taking and GDPR guidelines. All patients will be asked to sign a consent form before their appointment to give their consent for us to use Heidi in clinic during their treatment.
How does Verbalise work?
Verbalise also known as ‘Ivy’ is an Ai receptionist that will answer and arrange your appointments for you this will include rescheduling appointments, bookings, cancellations, payments and general enquires. Verbalise is compliant with health and care professionals’ council (HCPC) standards and is GDPR aligned and data secure.

Zero Tolerance
Green Cross Podiatry takes it very seriously if a team member or visitor is treated in an abusive or violent way. To successfully provide our services a mutual respect between all those operating as Green Cross Podiatry and clients must be in place. We aim to be polite, helpful, and sensitive to all individual needs and circumstances. Aggressive behaviour, be it violent or abusive, will not be tolerated and may result in you being removed from our client list and, in extreme cases, the Police being contacted.
